Create Waiting Rooms for each provider where patients can check in virtually
About Waiting Rooms
If your organization is utilizing the Waiting Rooms workflow, each provider will need to belong to at least one Waiting Room. While it is possible to have more than one Waiting Room, it is highly recommended that each provider only use one Waiting Room to prevent confusion when attending appointments.
A Waiting Room provides a static URL that can be sent to patients for telehealth appointments - making it even easier to quickly communicate.
Creating a New Waiting Room
- To Create your Waiting Room, click on the ‘Telehealth tab’ in the left margin (pictured below).
- Select ‘Create a Waiting Room’ from the tab options at the top of the screen (pictured below).
- Add a name for your custom link and check its availability (pictured below).
- Once checked and verified a green check will appear. Click ‘Save’ (pictured below).
- Once this URL has been created it is not editable – you can only delete or make a new one to update the URL.
- You may now name your waiting room, add a greeting display for your patients, and decide whether to use your profile picture or your organization’s logo (see image below).
- If the ‘Only Require Patient’s Name’ option remains disabled, patients will be required to enter all of the information in the picture below prior to checking into the waiting room.
- Enabling ‘Only Require Patient’s Name’ will only require them to fill out their first and last name.
- Enabling the ‘5 Minute Prior Check-In Request’ will send a message to your patient through Email and/or SMS 5 minutes before the scheduled appointment. This message contains the link that allows the patient to check-in. It is essential that this be enabled.
- Once you configure your waiting room’s settings, click Save (pictured below).
- When your waiting room has been created, you will see a list of all your available waiting rooms.
- While it is possible to have more than one Waiting Room, it is highly recommended that each provider only use one Waiting Room to prevent confusion when attending appointments.
Editing An Existing Waiting Room
Each of your waiting rooms will have their own set of action icons. The functionality will be explained in order of appearance below.
View Waiting Room - This will allow you to preview what your waiting room looks like from your patient’s perspective. Editing the settings will change this view.
Add User to Waiting Room - Here you can give other users access to your waiting room such as nurses or other appropriate staff.
Edit Waiting Room - Here you can update various settings of your waiting room.
Delete Waiting Room - This will permanently delete your waiting room.
Waiting Room Settings - Here you can configure even more settings.
Copy Waiting Room Link - Your waiting room has its own unique link. When you click this icon, it will copy that link to your clipboard for you to easily paste anywhere.
