How to Start a Telehealth Visit

Use the waiting rooms workflow to start a Telehealth visit

Rooms Tab

  • To begin, click on the Telehealth tab in the left margin


  • Select the ‘Rooms’ tab (pictured below), and then ensure that the proper Waiting Room is selected in the drop down (pictured below). 
    • It is recommended that each provider have their own Waiting Room. 

  • Depending on the individual patient settings, your patients will receive an SMS notification and/or an email notification about their upcoming appointments. These notifications include a link for the patient inviting them to check in.
  • Once the patient has successfully checked in, the provider and any users that were added as members to this Waiting Room will receive:
    • A push notification at the top of their screen (pictured below)
    • A sound will play if you are on the Telehealth tab within DocsInk
    • An Email and/or SMS notification (depending on your Waiting Room settings)
    • The patient name will be listed under the room they checked into
  • Once the patient has checked into the Waiting Room that you are viewing, you will be able to see that patient in the list (pictured below).

Search & Filter

  • If you have access to multiple Waiting Rooms, you can filter rooms by clicking the ‘Search & Filter’ button and updating the ‘Room filter’ box.
    • Important: Patients will only appear for the Waiting Room that you are currently viewing.

Verify a Patient 

  • Once you are notified the patient has checked in, click ‘Verify’ under Status
  • Once verified the patient information will auto populate showing possible matches to current patients in your system
  • If the patient is a match, choose ‘Link and Verify Patient’ under the Possible Matches option (pictured below)
  • In the unlikely event that you are getting ready to have a session with a patient who is not already in the system, you can select ‘Create and Verify Patient.’ (pictured below)

Starting a Session

  • Once the patient has checked-in and is verified – Click the 'Start Session’ button beside the patient name to begin your telehealth call (pictured below).
  • A new window with the telehealth video screen will automatically open requesting you to select your call preferences and to 'Join Now' (pictured below)

Admit or Do Not Admit

  • Once you click ‘Join Now,’ patients and guests that have checked in to join the session will appear with the option to either ‘Admit’ or ‘Do Not Admit’ (pictured below).
  • Select ‘Admit’ for patients and guests intended to join the session.
  • If you select ‘Do Not Admit,’ you may first enter a direct message to the patient or guest.
  • You can view all of the users and patients in the call by clicking the Show Everyone button in the bottom right corner.
